Before the rush: 9 features worth setting up before fall

Fall moves quickly in high volume photography.

Once picture days begin, small setup tasks have a habit of turning into time-consuming problems. Inconsistent data creates extra cleanup. Outdated storefront information generates customer questions. Manual job changes take your team away from work that needs more attention.

The good news is that you probably don’t need to overhaul your entire workflow. Captura already includes features that can help you automate job changes, organise customers, clean data, and create a smoother shopping experience.

Here are nine useful features to check before the fall rush begins.

1. Let Stages manage seasonal job changes

Nate’s fall favourite: use Stages to prepare your next price sheet before it needs to go live.

Stages automate how a job changes throughout its lifecycle. A Stage Template can control:

  • How long each phase lasts

  • Whether the online shop is visible

  • Which price sheet is active

  • Shipping, tax and watermark settings

  • Which custom form is used

  • Whether pre-ordering or bulk hold is active

For example, a job might move from pre-ordering to a temporary production pause, then reopen for proofing or reorders with a different price sheet.

Stages can use fixed dates, an amount of time, a manual transition or dynamic job dates such as the event, retake, expiration or direct-shipping date. This helps your team prepare the complete journey before fall gets busy.

2. Connect every job to an Organisation

Tearah’s reminder: your schools, leagues and clients shouldn’t exist only in job names.

An Organisation is the client connected to a job, such as a school, sports league or other studio customer.

Organisation records give you a structured place to maintain useful information, including:

  • Contact information

  • Website and address details

  • Shipping information

  • Logos

  • Keywords and custom data

  • Jobs associated with the client

  • Order and performance information

You can assign an Organisation while creating a job, add one later or bulk-assign several existing jobs using Quick Edit.

This creates a clearer view of your relationship with each client and makes it easier to filter, analyse and manage work across multiple seasons.

3. Set a free-shipping threshold

David’s fall revenue check: give shoppers a visible goal before they reach checkout.

Captura’s free-shipping threshold lets you offer free shipping once an order reaches a chosen value.

Unlike a temporary discount code, the threshold can remain active in your shop and work alongside other eligible promotions. When it is enabled, customers see a progress bar showing how close they are to earning free shipping.

That turns free shipping into more than a promotion. It becomes a visible incentive to add another print, product, or upgrade to an order.

A useful starting point is to compare your threshold with your current average order value. Setting the threshold slightly above a typical order can encourage customers to add something meaningful without making the goal feel unreachable.

4. Make your Welcome Message more useful

Haliee’s reminder: your Welcome Message can do much more than say hello.

The Welcome Message is one of the first pieces of information customers see when they enter a job or gallery.

Before fall, consider using it to communicate:

  • Ordering deadlines

  • Shipping or collection information

  • Customer-support details

  • Links to frequently asked questions

  • School-specific instructions

  • Important seasonal information

The Welcome Message supports basic HTML, so you can add headings, paragraphs, spacing, colours and clickable email or website links. Keep the message focused, preview it before launch, and check that it remains easy to read on desktop and mobile devices.

Instead of:

Try:

5. Edit data directly in Sheet View

Tyler’s shortcut for fall data cleanup: if it looks like a spreadsheet, edit it like one.

Sheet View displays subject information in a familiar spreadsheet-style grid.

Instead of opening each subject individually, you can:

  • Review information across many subjects

  • Edit individual cells directly

  • Sort and filter records

  • Select or deselect full checkbox groups in one click

  • Apply bulk actions

  • Reorganise or hide columns

  • Use Quick Edit or Find & Replace

  • Sync your completed changes

This is particularly useful when reviewing student IDs, grades, contact details, homerooms or other information before picture day.

Sheet View can also make inconsistencies easier to spot. A value that might be missed while looking at one record often becomes obvious when an entire column is visible. Workflow Latest v2026.4.2 also makes checkbox groups more predictable: you can clear a full selection in one click, clicking beside a list no longer toggles everything, and First Name remains visible so the grid does not appear empty.

6. Stop repeating edits with Find & Replace

Nate’s rule: if you’re about to make the same correction twice, check Find & Replace first.

Find & Replace works inside Sheet View to help you update subject information in bulk.

You can search a selected field using conditions such as:

  • Includes

  • Equals

  • Starts with

  • Ends with

  • All values

You can then replace text, add information before or after an existing value, or apply formatting changes.

For example, you might:

  • Standardise inconsistent grade values

  • Correct a repeated spelling error

  • Add missing zeroes to student IDs

  • Fix inconsistent capitalisation

  • Update an Organisation value

  • Add a shared identifier to filtered records

Filters can help you limit the update to the right group of subjects. Review the affected records carefully, apply the change, and then sync to save it.

7. Prepare Workflow for offline picture days

Nate's on-site reminder: test your offline setup before you are standing in a school gym without reliable Wi-Fi.

Workflow can keep key picture-day tasks moving without a connection, but only if the files each workstation needs are already available. Before picture day:

  • Update every capture station to a current supported Workflow release

  • Download each job your team may need on site

  • Download the print profiles required for on-site printing

  • Turn off Wi-Fi and confirm the downloaded jobs remain visible

  • Print a test item offline, then reconnect and sync any changes

Recent Workflow releases improved offline printing and fixed an issue that could make downloaded jobs disappear from the Jobs list after a refresh while offline. This makes now a good time to retest every capture and printing station before the season gets busy.

8. Set up school ID cards before picture day

David's picture-day test: if a school needs ID cards on the day, the first student's card should not be your test print.

Start by creating the ID card design in Designer or My Designs, using the subject image and the school fields the card requires. Then:

  • In Preferences > Printing, set up a Hot Folder or choose Print to Device and select the printer

  • Open the active job, select Print Templates, and add the ID card template

  • Go to Tools > Capture, select the subject, click the print icon, and choose the ID card template

  • Test with a long name, a real student ID, and the printer and materials you will use on site

Workflow Latest v2026.4.2 also prevents a search from the Subjects tab carrying into Capture. Capture now opens in its default state, so other subjects are not hidden by an old search - a useful safeguard against duplicate records on picture day.

Once this is configured, the same subject data and image captured in Workflow can feed the card template and send the finished card to your chosen print path. A full rehearsal also gives you time to correct cropping, field mapping, orientation or printer settings before picture day.

9. Build and test your school exports before handoff

Your school-delivery reminder: an export is only finished when the school can open it in the format and structure it expects.

School exports turn subject data and images into deliverables for yearbooks, student information systems, and other school workflows. Captura supports common formats such as PSPA, PowerSchool and Synergy, along with flexible Subject Data & Images exports.

Before the rush, confirm:

  • Which export format and version the school requires

  • Which subject fields, images and filename conventions must be included

  • Whether all subjects or only a filtered group should be exported

  • How images should be cropped, sized, sorted, and named

  • Where the completed files should be saved and how they will be delivered

Inside the job, open Tools > Export and choose + New Export. Use Subject Data & Images for a configurable export, review the subject and image filters, then run a small test before producing the full delivery. Smart Workflow studios can save the finished setup as a Custom Export for reuse.

Open the exported files and compare a sample against the school's specification. A quick validation with the school before the deadline can prevent a full export from having to be rebuilt.

Nine small checks can make a significant difference

Fall readiness does not always mean introducing a completely new process.

Sometimes it means connecting a job to the right Organisation, improving one customer message, cleaning a column of data, preparing an offline fallback, testing your ID-card print path or validating a school export before the deadline.

Start with the feature that removes the most friction from your current workflow. Make one improvement, test it and move to the next.

A little preparation now can mean fewer errors, fewer customer questions, and much less manual work once the season is moving at full speed.
